Mastering Pipelines
Use pipelines to track deals, projects, or any multi-stage process.
What pipelines are for
Pipelines let you track contacts as they move through a process. Sales deals, project stages, service delivery — anything with steps.
Each pipeline has stages. Contacts move from one stage to the next as they progress.
Creating a pipeline
Go to Pipelines. Click "New Pipeline."
Name your pipeline (e.g., "Sales Pipeline," "Client Onboarding").
Define your stages. Examples:
- Sales: Lead → Meeting → Proposal → Negotiation → Won
- Projects: Inquiry → Scoping → In Progress → Review → Complete
- Service: New Client → Onboarding → Active → Offboarding
Free plan allows 2 pipelines with up to 6 stages each. Pro plan has no limits.
Using the pipeline
Open a pipeline. You'll see your stages laid out as columns.
Drag a contact into the first stage. As you work with them, drag them to the next stage.
You can link appointments and tasks to pipeline contacts so everything stays connected.
Tips
- Don't overcomplicate stages. 4-6 stages is usually enough.
- You can have multiple pipelines for different processes (sales vs. projects).
- Pipelines work best when you actually move contacts through them. If contacts sit still, consider simplifying.
- Use tags and custom fields to track additional details without cluttering the pipeline.
